1. MINUTES
We have now drafted a first version of the minutes of our kick-off meeting and we invite you to read them carefully and give us your comments (with track change) by next Thursday 23.11.17. We attach for this also the PowerPoint presentation used during the meeting, as well as the 2 presentation files of our colleagues from SKUNI and Dlearn in pdf form. 2. QUESTIONNAIRE
Another attachment is the “Research Methodological Framework” presented during our meeting from Dlearn. As discussed during our meeting, ATL has scheduled to participate in a dissemination event on the 23rd of November. As a result, it would be great for us to have the questionnaire ready by the 21th of November in the morning. Dear Francesco, would it be possible for you to check and finalise the survey until Tuesday?

With this e-mail I would like to invite you officially to our Kick-off meeting, which is going to take place in our premises in Thessaloniki (GR) on the 13th and 14th of November 2017. Please find attached the agenda for our meeting. We apologise for the delay. We are looking forward to your contributions and our fruitful discussions that will clarify and determine our future steps.
It would be nice if we could have a brief introduction of your organisation and your main activities in the project (in 2-3 presentation slides), so we can circulate the information before the meeting; if possible by Friday 10.11. We would like to kindly ask our partners from Dlearn a few slides on “The Common Methodological Framework” and from DIT on “Free and Open Source Software Training Course”. We know we are late to ask for this, but we trust that most of you have already prepared something.
Finally, I would like to do a first introduction of our colleague, Katerina Tsinari, who will be taking over the project from the Atlantis side. We believe that her expertise in VET/e-learning with the support of our IT team will facilitate the implementation of what we envisage is going to be a very interesting project.

Dear all,
It was a very fruitful teleconference. It was nice to discuss for the first time with all of you. A lot of issues for our project, please read carefully and with patience until the end. Thank you in advance!
A) MEETING WITH THE GREEK NATIONAL AGENCY (IKY)
1. We have a very helpful, knowledgeable and demanding handler. The level of details during the audits is going to be quite thorough. The message is that as long that we stay close to them and inform them of any issues that may occur, they are there to help us. We are waiting for the contract signed between them and ourselves (ATL, the coordinator) and for the agreement among the coordinator and the partners to be forwarded. We anticipate that all formalities will have been resolved in the next couple of weeks. We will inform you as soon as possible. At this point, the worst case scenario in my mind is to have the partners’ agreement ready for signature in Thessaloniki.
2. We will need from all partners copies of the boarding passes and hotel invoices, as they request it to verify that partners have traveled to the transnational meetings.
3. Regarding O2: FOSS4sMEs training course. Moodle without parametrization is not going to be accepted. They don’t want to see just creation of accounts and a few slides. They strongly believe in our project and our consortium and they expect great results.
4. They would like to be invited to multiplier and other events linked to our project.
B) TYPICAL REQUIREMENTS UNTIL THE THESSALONIKI MEETING
1. For the time being, please consider myself as the contact person on behalf of the Project Coordinator Manager, Mr. Cosmas Vamvalis, our Managing Director.
2. We would like to ask DLEARN to: i) appoint a Quality Manager, ii) provide the common methodological framework serving as a guideline for all partners in the research phase, including all items as described in O1/A1 by 07.11 if possible, or at the Thessaloniki meeting at the latest, i.e. 13.11. Please note that according to the workplan all of us need to be working on this task from November till February (M02-M05) and that we can benefit from using the questionnaires during the events we organize on 09.11 and on 23.11 to hopefully gather inputs from the 20 SMEs in Greece.
3. We would like to ask all partners to appoint one representative for the Management Committee and one representative for the Advisory Board (it could be the same person).
C) PROJECT MANAGEMENT
1. We have agreed for the time being to use GoToMeeting for our biweekly teleconferences. In order to arrange for the next one please vote in the following doodle https://doodle.com/poll/
6yawap2agpuudnw5 2. We need to reach an agreement for FOSS to be used for the implementation of our project for: i) project management, ii) file sharing, iii) online meeting and messaging. I would like to thank you for alternatives already suggested. Lets’ all consider our options and agree in Thessaloniki.
3. I am attaching the revised, approved budget with an overview, together with the revised Gantt chart.
4. We will communicate the draft agenda until 08.11.
5. In order to facilitate the start of the project, we would like to ask our partners form the University of Skovde (SKUNI) to provide us with an exact address, so we can mail you a copy of the proposal/contract and you can have some time to study it prior to the kick off meeting.
D) DISSEMINATION
1. As discussed during the teleconference, we have already scheduled two dissemination events as Atlantis. The first, is during the Carrier Day for Young Researchers of the Aristotle University of Thessaloniki, AUTH, on 09.11. The second, under VET Skills Week (yeah!) on 23.11. We would like to use these events to gather feedback for our survey.
